What is a Functional Capacity Assessment?

A Functional Capacity Assessment (FCA) is a comprehensive Occupational Therapy assessment that looks at how your disability impacts everyday activities – and what supports, equipment, and services you need to live as safely and independently as possible.

During an FCA, we explore how you manage things like:

  • Personal care (showering, dressing, grooming, toileting)

  • Household tasks (cooking, cleaning, laundry, managing your home)

  • Mobility (getting around your home and community, transfers, stairs)

  • Community access (appointments, shopping, public transport)

  • Routines, organisation, and memory

  • Work, study, volunteering, parenting, and other roles

  • Emotional wellbeing, fatigue, and how you cope with everyday demands

The FCA report is then used as evidence for the NDIA and other stakeholders to understand your current abilities, limitations, and what supports are reasonable and necessary.

1. Referral and Triage

Once we receive your referral or enquiry, we review the information provided (e.g. NDIS plan, previous reports, key concerns). If we need more detail, we’ll contact you or your support coordinator to clarify the goals of the assessment and any timeframes (for example, an upcoming NDIS review).

2. Pre-Assessment Information Gathering

We may ask for relevant documents such as previous OT reports, allied health reports, medical information, or behaviour support plans. This helps us avoid duplication and understand your history before we meet.

3. Comprehensive Assessment Session(s)

Assessments can be completed in your home (Melbourne) or via telehealth across Victoria, depending on your needs and location. During the assessment, we will:

  • Talk through your typical day and what is and isn’t working

  • Observe certain tasks where appropriate (such as moving around your home or managing daily activities)

  • Ask about your goals, priorities, and what you’d like to change

  • Explore how fatigue, pain, mood, and sensory issues impact your function

  • Include input from family, carers, or support workers if you’re comfortable with that

4. Liaison With Your Support Team

Where appropriate, we speak with your support coordinator, plan manager, or key providers to make sure the report reflects a whole-of-team view of your needs and supports.

5. Report Writing – NDIA-Ready Evidence

Following the assessment, Hayley prepares a detailed FCA report structured in a way that aligns with NDIS decision-making. The report includes:

  • Background summary and relevant history

  • Description of your functional abilities and limitations across life domains

  • Impact of your disability on day-to-day life

  • Risks, safety concerns, and supervision needs

6. Feedback and Next Steps

Typical timeframes: Timeframes can vary based on complexity and urgency, but we’ll always discuss expected dates with you upfront. If you have a review meeting date, let us know as early as possible so we can plan accordingly.
